Who I am

Refinery ATX is a professional organizing and interior design studio based in Austin, Texas. This policy explains what personal information this site collects, why, and what happens to it.

What I collect, and when

When you contact me through the site. The contact form is provided by HoneyBook, a third-party client-management platform. When you submit it, HoneyBook collects and stores the information you enter — typically your name, email address, phone number, and whatever you write about your project. I receive that information and use it to respond to you.

When you email or call. If you reach me directly, I keep your contact details and our correspondence so I can follow up and manage the work.

When you become a client. For active projects I hold the information needed to do the job and get paid — your address, project details, photographs of your spaces, scheduling information, and billing records. Payment card details are handled by HoneyBook’s payment processor; I never see or store your full card number.

Automatically, when you visit. This site runs on WordPress.com and uses Jetpack, which records standard technical information about visits: IP address, browser and device type, pages viewed, referring site, and approximate location. This is aggregate traffic data, and I use it to understand how the site is being found and used.

Google Analytics. This site uses Google Analytics, delivered through Google Tag Manager, to understand how visitors find and use it. Google Analytics sets cookies and collects information including your IP address (which Google truncates), the pages you view, how long you stay, what site or search referred you, and general device and browser details. I use this to see which pages are useful and which aren’t. I do not use it to identify individual visitors, and I don’t combine it with the information you send me through the contact form.

Google processes this data under its own privacy policy and may use it for its own purposes. You can read Google’s terms at policies.google.com/privacy. If you’d rather not be measured at all, Google publishes a browser opt-out add-on at tools.google.com/dlpage/gaoptout, and most browsers let you block analytics cookies directly.

Cookies. This site uses cookies — small files stored by your browser. Some are necessary for the site to function. Others are set by Google Analytics and Jetpack for traffic measurement, and by HoneyBook for the contact form. You can block or delete cookies in your browser settings; the contact form may stop working if you do.

Photographs of your home

Interior design and organizing work is visual, so I photograph spaces before, during and after a project.

I will not publish a photograph of your home, or identify you as a client, without your permission. Project photographs used on this site, on Instagram, or in any marketing material are used with the client’s consent. If you have given permission and later change your mind, email me and I will remove the images from anything I control.

Photographs I keep for my own records are stored securely and are not shared.

Who I share information with

I do not sell your personal information. I have never sold it and I have no plans to.

I share information only with the services and people that make the business run:

  • HoneyBook — contact forms, client files, contracts, invoicing and payments
  • WordPress.com and Jetpack (Automattic) — website hosting and traffic measurement
  • Google — website analytics, as described above
  • Email and phone providers — for our correspondence
  • My bookkeeper — sees invoices, client names and billing records for accounting and tax purposes
  • Trades and subcontractors — when a project needs them, they see what they need to do the work: typically your address, access arrangements, and the relevant project details. They don’t receive anything beyond that.

Each of these processes information on my behalf under its own privacy terms. I may also disclose information where the law requires it.

How long I keep it

I’ll be straightforward with you: I keep records indefinitely rather than deleting them on a schedule. Enquiries, client project files, correspondence and project photographs stay in my systems unless you ask me to remove them.

There are practical reasons — a client from three years ago calls about the closet system I built, and I want to be able to tell them exactly what went in it — but the honest summary is that I don’t run an automatic deletion process.

If you’d rather I didn’t hold your information, ask me and I’ll delete it. See the next section. The only things I can’t remove are records I’m legally required to keep, such as invoices and tax documents.

Website traffic data is retained by Jetpack and Google under their own schedules, which I don’t control.

Your choices

You can ask me to:

  • tell you what personal information I hold about you
  • correct anything that’s wrong
  • delete your information
  • stop contacting you
  • remove photographs of your home from anything I control

Email support@refineryatx.com and I will respond within 30 days. I may need to confirm your identity first. Some information I’m required to keep — invoices and tax records, for example — and I’ll tell you plainly if that’s the case.

Texas residents have rights under the Texas Data Privacy and Security Act. Refinery ATX is a small business and may fall outside that law’s scope, but I’ll honour these requests regardless.

Security

I take reasonable steps to protect your information — the site runs over HTTPS, accounts use strong authentication, and access is limited to me. No system is perfectly secure, and I can’t guarantee against every risk, but I’ll tell you promptly if something happens that affects your data.

Children

This site isn’t directed at children and I don’t knowingly collect information from anyone under 13. If you believe a child has provided information here, email me and I’ll delete it.

Links to other sites

This site links to Instagram and other external services. Once you leave this site, their privacy policies apply, not this one.

Changes

If this policy changes I’ll post the new version here and update the date at the top. Material changes to how I handle client information will be communicated directly to active clients.
